How WhatsApp booking works, step by step
Medovra's WhatsApp booking bot for clinics is a guided, tap-to-select flow. Patients don't have to type dates or spell doctors' names. They pick from lists.
Patient says "Hi" to your clinic number
The patient messages your clinic's WhatsApp number with "Hi" (or anything else) and Medovra starts the booking conversation.
Tap to choose branch, department and doctor
Medovra uses WhatsApp's interactive list menus to show the options: first the branch, then the department (if your clinic uses departments), then the doctor. Each list shows up to 10 choices. If a patient's phone shows plain text instead, they can reply with the option number. Steps that don't apply are skipped, so a single-doctor clinic goes straight to dates.
Pick a date and time from live availability
The patient sees the doctor's next available days (up to 14 are shown), then the open time slots on the chosen day. These come from the same live schedule as your online booking page, so patients never see a slot the doctor doesn't have.
Confirm, and the booking appears in your dashboard instantly
Medovra shows a summary with Confirm and Cancel options. Before booking, it checks the slot is still free. If someone else just took it, the patient is told and taken back to choose another time. Once confirmed, the appointment appears straight away in your Medovra dashboard, tagged with WhatsApp as its source and linked to the patient's record by mobile number, and the patient gets a confirmation in the chat. The WhatsApp flow doesn't ask for the patient's name: new WhatsApp patients are saved as "WhatsApp Guest" with their mobile number, so your front desk can add their details at the visit.

Booking is only the first message. Medovra keeps patients informed, on WhatsApp where WhatsApp allows it and by SMS or email otherwise:

WhatsApp first, with email and SMS fallback
Not every patient is reachable on WhatsApp every time. For each event, such as a confirmation or a notice, Medovra sends one message on the first channel that works: WhatsApp, then email, then SMS. Patients get one message, not the same message three times. Each channel can be switched on or off for your clinic, and every message Medovra sends is logged against the appointment (channel, recipient, time and any error), so your team can see exactly what went out.
Works with your web booking page and front desk
WhatsApp is one way into your calendar, not a separate system. WhatsApp bookings, your online booking link and the walk-ins your receptionist adds all share one doctor calendar with the same no-double-booking check. A slot booked on WhatsApp disappears from the web booking page, and the other way round. Your receptionist sees every appointment in one list, whatever channel it came from.
Multi-branch clinics on WhatsApp
If your practice has multiple branches, patients choose the branch first in the WhatsApp flow. After that, they only see the doctors who consult at that branch and the days those doctors are there. One clinic WhatsApp number can take bookings for every branch without confusing patients about where to go.

Frequently asked questions
Can patients book an appointment on WhatsApp without installing an app?
Yes. WhatsApp booking is included in every Medovra plan. Patients use the WhatsApp they already have. They message your clinic number, tap through branch, doctor, date and time, and confirm. There's nothing new to install and no account to create.
Do patients have to type dates and times?
No. Medovra's WhatsApp flow is menu-based: patients tap options from WhatsApp list menus instead of typing. If a list doesn't display on their phone, they can reply with the number of the option they want. This avoids misunderstandings like "next Tuesday evening" being read the wrong way.
Which WhatsApp messages does Medovra send?
Medovra sends a booking confirmation for WhatsApp bookings, notices when staff reschedule or cancel, and a thank-you after the visit. Reminder, follow-up and no-show tools built in (automatic scheduling coming soon): WhatsApp, SMS and email reminders, a "we missed you" message after a no-show, and follow-up reminders. WhatsApp only allows some business messages within 24 hours of the patient's last message, so outside that window reminders go by SMS or email instead.
What happens if two patients try to book the same slot?
Medovra checks that the slot is still free just before confirming. The first patient to confirm gets it. The second patient is told it has been taken and goes back to the time list to pick another slot. Nobody is double-booked.
Can I use my clinic's existing WhatsApp number?
Yes, you can usually keep your existing number; we connect it through WhatsApp's official Business Platform during setup. Medovra sends and receives WhatsApp messages through Twilio, so there's nothing for you to install or change on your side.
What if a patient isn't on WhatsApp?
If WhatsApp can't be used for a patient, Medovra tries email next and then SMS, as long as those channels are enabled for your clinic. The patient still gets one message per event, just on a channel that reaches them. Patients without WhatsApp can also book through your online booking link or at the front desk.
